Gray Stone Day School is an open enrollment school allowing any student with established residency in North Carolina to attend provided space is available. In order to be considered for admittance, completed applications must be received by the established deadline.

The Application Period and Maximum Enrollment Numbers

Gray Stone Day School has established October 1 – November 30 as the application period for students interested in enrolling for the following school year. Applications received after November 30 will not be considered in the lottery process.

Gray Stone Day School will make public a Maximum Enrollment Number for each grade level prior to the application deadline. This number will be based on building capacity and anticipated class sizes.

The Maximum Enrollment Number for each grade level will be reduced by the number of currently enrolled students in that respective grade. The remaining number of spaces by grade level will be the Incoming Enrollment Number. A lottery will be used to fill spots if the number of applicants exceeds the Incoming Enrollment Number for that grade level with the following exceptions in the designated order: 

1. Children of full time employees of Gray Stone Day School who have submitted a completed application by the application deadline shall be accepted provided the Incoming Enrollment Number is greater than zero. The number of students enrolled under this exemption shall not be greater than 15% of the total enrollment of the school. The Incoming Enrollment Number shall be reduced by the number of students accepted under this exemption. In the event that space is not available to accept all applicants in this category, a lottery will be held to determine acceptance.

2. Siblings of currently enrolled students who have submitted a completed application by the application deadline shall be accepted provided the Incoming Enrollment Number is greater than zero. The Incoming Enrollment Number shall be reduced by the number of students accepted under this exemption. In the event that space is not available to accept all applicants in this category, a separate lottery will be held to determine acceptance.

3. Siblings of students who have previously completed four years of education at Gray Stone Day School shall be accepted provided the Incoming Enrollment Number is greater than zero. The Incoming Enrollment Number shall be reduced by the number of students accepted under this exemption. In the event that space is not available to accept all applicants in this category, a separate lottery will be held to determine acceptance.

4. Students who are reapplying to Gray Stone Day School after withdrawing to take part in a special education opportunity such as a study abroad or other residential educational program that fits the mission of college preparation shall be accepted provided the Incoming Enrollment Number is greater than zero. The Incoming Enrollment Number shall be reduced by the number of students accepted under this exemption. In the event that space is not available to accept all applicants in this category, a separate lottery will be held to determine acceptance.

 

The Lottery Process
If a lottery is required for the coming school year, it will be held at 4pm on the first Thursday after the first Monday in December at Gray Stone Day School.

The lottery will be a blind draw. The lottery will be conducted by grade level beginning with the rising 12th grade and working down in class. The parent of each applicant will receive an email with a random lottery number prior to the lottery date. To prevent tampering, only school administration and the parent will know the names associated with each number. Parents are asked to maintain the confidentiality of their child’s number. On the day of the lottery, the complete list of eligible numbers will be entered into an electronic lottery drawing system.

Exceptions to this policy are as follows:

Parents who choose to bundle applications will receive one lottery number.  That number will be placed with the grade level of the primary applicant.  Should the number be drawn, all bundled applications will be placed in the next available spot for their appropriate grade level.

When the lottery program begins, a number will be drawn from the available numbers and displayed on the screen. Each successive number will be drawn from the remaining numbers creating a new chance from each shuffle for each applicant. This process will continue until the Incoming Enrollment Number has been reached for that grade level.

The remaining numbers will continue to be drawn and placed on a waiting list, in order, until all numbers have been pulled.

A complete list of acceptances and waiting list by grade level will be posted on the school website by number only, as soon as possible following the lottery. Parents who need to confirm lottery numbers may contact the school office. The school administration will not release names of acceptances until the list is cross-checked and verified. Parents must visit the school website to match numbers to acceptances.

 

After the Lottery

A waiting list will be established for each grade level. Students from the waiting list will be issued an Offer of Acceptance as space becomes available. The school may choose to expand or cap the total number per grade level based on class size once registration of courses is completed for current students.

The waiting list will be utilized until October 1st of the year for which the lottery was drawn at which point no further applicants will be accepted for the school year. When a student from the waiting list is offered acceptance prior to July 20th, a confirmation shall be required within 5 business days. If the acceptance is offered on July 20 or later, a confirmation shall be required by the end of the second school day unless extenuating circumstances exist.

Any student who wishes to transfer to Gray Stone Day School after October 1 and is coming from a school that is utilizing a schedule that would enable continuity in curriculum will be handled on a case-by-case basis and will require administrative approval.

Students accepted through the lottery will be emailed an acceptance package requesting further enrollment information. This information must be completed and returned by the indicated deadline. Unless extenuating circumstances exist, failure to return the enrollment information by the indicated deadline will result in the revocation of acceptance and the student being removed from the accepted list.

Any student who applies after the application deadline will be added to the bottom of the waiting list for the respective grade level.
